This privacy policy (“Privacy Policy”) describes the types of personal information that The Prompting Company (“The Prompting Company,” “we,” “our,” and/or “us”) collects, uses, and discloses from individuals (“you” or “your”) who use our website and services that link to this Privacy Policy (collectively, our “Services”). As used in this Privacy Policy, “personal information” means any information relating to an identified or identifiable individual. This Privacy Policy explains how we collect, use, disclose, and otherwise process personal information when you use our Services. Beyond the Privacy Policy, your use of our Services is also subject to our Terms and Conditions. This Privacy Policy does not apply to the extent we process personal information in the role of a processor or service provider on behalf of our customers, including where we offer to our customers our software-as-a-service platform. In that context, our customers are the data controllers, and our processing of that personal information is governed by our applicable customer contracts.

We may collect a variety of personal information from or about you or your devices from various sources. Where applicable, we indicate whether and why you must provide personal information, as well as the consequences of failing to do so. If you do not provide your personal information when requested, you may not be able to use our Services.

Personal Information You Provide to Us: We collect contact information (e.g., your name, email, company details), communications (including contents of messages and interactions), account information, resume details (if applying for jobs), and, for payments, information handled by our third-party processor.

How We Use the Personal Information We Collect

We use the personal information we collect to provide, maintain, improve, and enhance our Services; to personalize your experience; to understand and analyze usage; to communicate with you; for marketing and advertising; to generate anonymized data; to facilitate transactions; to prevent fraud and abuse; for compliance; and for other purposes described at collection.

How We Disclose the Personal Information We Collect

Information may be disclosed to partners and affiliates, vendors and service providers (including AI service providers), analytics and error tracking services, as required by law, in corporate transactions, or with your consent.

YouTube API Services

Parts of our Services use YouTube API Services to help our customers understand which public videos are relevant to their market and which videos AI assistants cite when answering questions about them. By using those features you are also agreeing to the YouTube Terms of Service. Google's handling of any information it receives is governed by the Google Privacy Policy.

What we retrieve: We use the YouTube Data API to search for public videos matching topics our customers track, and to look up metadata for public videos that AI assistants have cited. We do not ask you to connect a YouTube or Google account, we do not access private or unlisted content, and we do not request or receive YouTube account credentials, viewing history, or any information about individual viewers.

What we retain: For each video we surface in market research, we keep the watch URL, the channel name, a platform label and a count of how often it appeared. We refresh the channel name from the YouTube Data API at least every 25 days, and remove the video from those records once the API no longer returns it. The fuller search results used to produce a customer's report, including video titles and description text, are kept only for the short time the report is being built: the working copy is deleted within two days, and the internal archive of each run within 30 days.

Where an AI assistant has cited a video, we separately record the public information the API reports about it, including the video title and description, the channel, the publication date and duration, and the engagement counts YouTube publishes for that video, such as view, like and comment counts. This lets a customer see how widely a video that shaped an AI answer has been watched. These records describe the video itself rather than any customer or viewer. Each record is kept for no more than 28 days from when we retrieved it; when a customer views a cited video whose record is more than 25 days old, we retrieve it again from the YouTube Data API. We do not store video files or the text of any comment.

Creator contact information: So that our customers can identify who publishes in their market, we maintain records of the authors behind cited sources. Where a cited source is a YouTube video, that record holds the channel name and channel URL, and may hold business contact details that the channel operator has chosen to publish publicly, such as a business email address, a website, or links to other social profiles. This is information published by creators about their channels; we do not collect contact details about viewers.

Deletion and your choices: You can ask us to delete data we hold about you, including any creator contact record, by contacting us using the details at the end of this policy. Deleting a customer account removes the records we hold against that account in our main database. The video records and run archives described above are stored against the video or the run rather than the account, so deleting an account does not remove them immediately; they expire on the schedules above, within 30 days at most. We can delete them sooner on request, using the same contact details. Because our use of YouTube API Services does not require you to connect a Google account, there is normally nothing for you to revoke; if you have granted any Google account permissions to us or to a third party, you can review and revoke them at https://myaccount.google.com/permissions.

Your Choices and Rights

You may unsubscribe from promotional emails using links in those messages. Even if you opt out of promotional mail, administrative messages will continue.

Your European privacy rights include access, updates, corrections, restriction, objection, anonymization, deletion, and the right to data portability. You can also withdraw consent at any time. To exercise these rights, contact us as described below. Verification may be required.
